Who am I?
I’m Katherine Perrin and I work as a freelance consultant providing coaching and other services. I am a sole trader and I run this website www.katherineperrin.com.
How do I collect personal data from you?
I receive information about you when you use my website or complete forms, if you contact me by phone, email or any other method about any of my services or during the purchasing of any such service. If you provide me with personal data about a third party, you warrant that you have obtained the express consent from the third party for the disclosure and use of their personal data.
What type of data do I collect from you?
The personal data that I may collect from you includes your name, address, email address and phone numbers. For coaching clients, I may take notes during our sessions of any information you disclose.
I may also keep details of your visits to my website including, but not limited to traffic data, weblogs and other communication data. I also retain records of your queries and correspondence, in the event you contact me.
How do I use your data?
I use information about you in the following ways:

To provide customer care, including responding to your requests if you contact me with a query;

How do I store your data?
Client and business data is stored within a GDPR compliant 365 cloud account. Data on current clients that I am actively working with may also be stored in my mobile telephone that is also passcode or biometrically encrypted. If our meetings are carried out via Teams or a similar communication application, contact data will be stored within the application for the duration that we are actively in a business relationship.
I reserve the right to change the systems in which data is stored without notification to another equivalent system but at all times I will ensure the appropriate security of your data and GDPR compliance.
Handwritten notes taken during coaching sessions are stored in a locked cabinet.
How long do I keep your data for?
I will keep your personal data for the duration of the period you use my services. I will retain your data only for as long as necessary in accordance with applicable laws.
On the ending of our work together, I may keep your data for up to 7 years after you have cancelled your services with me. I may not be able to delete your data before this time due to my legal and/or accountancy obligations. I assure you that your personal data shall only be used for these purposes stated herein.
Given the nature of my services clients often return to me with repeat instructions within weeks, months or years of contacting me in the first instance. The seven-year period referred to above will start from the last contact I had with the client, third party or supplier, to ensure I am able to assist as and when I need to.
Who has access to your personal data?
I process your data for administration, support and the provision of services. I do not and never will sell your personal data to third parties for marketing or advertising purposes.
I may pass your personal data to third parties for the provision of services on our behalf (for example processing your payment). However, I will only ever share information about you that is necessary to provide the service and I have specific agreements in place, which ensure your personal data is secure and will not be used for any marketing purposes.
I may share your personal data if I am under a duty to disclose data in order to comply with any legal obligation or to protect the rights, property, or the safety of myself, my customers, or others.

Your rights
You have the right to object to my use of your personal data, or ask me to delete, remove or stop using it if there is no need for us to keep it. This is known as your right to be forgotten. There are legal and accountancy reasons why I will need to keep your some of your data, but please do contact me if you think I am retaining or using your personal data incorrectly.
Accessing and updating your data
I may contact you periodically to maintain the accuracy of your information and ensure all your details, including but not limited to, name, address, phone number and e-mail address. You have the right to access the information I hold about you. Please email your requests to katherine@katherineperrin.com so that I can obtain this information for you.
You will not have to pay a fee to access your personal information (or to exercise any of the other rights). However, I may charge a reasonable fee if your request for access is clearly unfounded or excessive. Alternatively, I may refuse to comply with the request in such circumstances.
I may need to request specific information from you to help confirm your identity and ensure your right to access the information (or to exercise any of your other rights). This is another appropriate security measure to ensure that personal information is not disclosed to any person who has no right to receive it.
Liability
I agree to take reasonable measures to protect your data in accordance with applicable laws.

In the event of a data breach, I will make sure I comply with my obligations under applicable data protection laws where necessary.
